1. General

Through your agreement with Hotel SKT. Annæ, we collect personal data about you.

These guidelines have been prepared in accordance with the EU General Data Protection Regulation (GDPR), which has applied in Denmark since 25 May 2018, as well as the Danish Data Protection Act, which supplements the regulation and replaces the former Personal Data Act (collectively referred to as “applicable legislation”).

Below you can read about the information we collect, how it is processed, what it is used for, who has access to it, and who to contact if you have questions or objections.

Processing of personal data

As a natural part of Hotel SKT. Annæ’s business operations and marketing, personal data about our guests and website visitors is processed.
This policy describes how Hotel Skt. Annæ processes personal data collected in connection with your stay at our hotel and through use of our website.

2.1 What is personal data?

Hotel SKT. Annæ collects, stores, and processes personal data about you in connection with your stay and use of our website.
This may include your name, address, email, phone number, date of birth, credit information, as well as details regarding your stay, preferences, and usage patterns.

Personal data is generally collected directly from you, but we may also receive information from other sources, such as independent booking providers.

The data is used to identify you as a guest and to provide the services you have purchased.
It is stored in our IT systems and/or in physical records.

2.2 How long do we keep your personal data?

Hotel SKT. Annæ ensures that stored information is kept up to date and accurate at all times.

Your personal data will be deleted when it is no longer necessary for the purposes for which it was collected, or when continued storage is not required by law — for example, for compliance or legal defense.

Video surveillance recordings for crime prevention are deleted or anonymized no later than 14 days after recording, unless retention is required in relation to a specific case.

2.3 What do we use personal data for?

Booking of accommodation

To complete your booking, we process your personal data — for example, your email address, so we can send you confirmation and receipts.
Payment details are processed by our payment provider.

Stays at Hotel SKT. Annæ

We process and store data related to your stay and the services you use.
The purpose is to provide you with the best possible experience during your stay and in connection with future visits.
In certain cases, we may ask for identification (e.g., passport) for verification purposes.

Customer satisfaction surveys

If you have provided your email when booking, you may receive a follow-up survey after your stay to help us improve our services.

Marketing and newsletters

With your consent, Hotel SKT. Annæ may send emails or newsletters containing offers, membership benefits, event information, and discounts.
You can unsubscribe at any time via the link in the email or by contacting [email protected].

Video surveillance

Hotel SKT. Annæ uses CCTV for safety and crime prevention purposes.
Recordings are only accessed if there is suspicion of criminal activity or for safety-related reviews and may be shared with the police if required by law.

Customer service and communication

When you contact us, we process the information you provide in order to respond to your inquiry.
We advise you not to send sensitive information by email unless it is necessary and encrypted.

Use of the website

You can visit hotelsktannae.dk without providing personal data.
A session ID will be generated, but it cannot identify you personally.
When you use our website, we may collect data such as your email address, name, phone number, IP address, browsing behavior (clicks, pages visited, session time), geographical data, and technical information.

We use tools such as Google Analytics to gather visitor statistics.
Your personal data is stored on secure servers within the EU.
Certain data may be processed by third-party processors acting on behalf of Hotel Skt. Annæ and in compliance with applicable data protection laws.

In the event of a data breach, we take immediate measures to limit damage, notify affected parties, inform the Danish Data Protection Agency, and secure our systems.
All affected parties will be notified within 72 hours.

Other purposes

Hotel SKT. Annæ may also process personal data to comply with legal obligations or establish, exercise, or defend legal claims.

2.4 With whom does Hotel SKT. Annæ share your personal data?

We only disclose your personal data to third parties if you have provided consent, or if it is necessary to fulfill an agreement — for example, in connection with travel bookings.

In certain cases, we may disclose data to public authorities or the police, for example, in cases of suspected credit card fraud.

Some service providers act as data processors on behalf of Hotel Skt. Annæ (e.g., for newsletters or loyalty programs) and may only process data in accordance with our instructions.

2.5 Withdrawal of consent

You may withdraw your consent at any time.
Upon withdrawal, your data will be deleted unless there is another legal basis for processing.
Please note that withdrawal of consent may mean we can no longer provide certain services.

2.6 Your rights

You have the right to know which data Hotel SKT. Annæ processes about you and for what purpose.
You may also object to processing (including profiling) and request correction, deletion, or restriction of data that is incorrect or processed unlawfully.

2.7 Security

Hotel SKT. Annæ places great importance on the confidentiality of personal data.
Only authorized employees with appropriate training and access rights may process your personal data to prevent misuse, loss, or unauthorized access.

2.8 Changes in the processing of personal data

We reserve the right to update or modify this Privacy Policy.
When changes are made, the “last updated” date at the bottom of the page will be adjusted.
This policy is reviewed at least once per year.
